Personal Information Protection Policy

Japan Medical Imaging and Radiological Systems Industries Association (JIRA) acknowledges that it is an important responsibility for JIRA to correctly handle personal information under its control.
Therefore, JIRA will properly manage and use the information, which is obtained through its business activities and identifies specific individuals (hereinafter referred to as the “Personal Information”), in compliance with laws, regulations, and guidelines related to the personal information protection.
Specifically, JIRA will properly manage and use information which identifies relevant individuals (including information which does not identify individuals by itself but can be easily collated with other information to identify the relevant individuals) such as the name, address, telephone number, mail address, place of work, and other descriptions gathered by JIRA in writing or through electronic media, homepage, etc. in the course of its business activities by making the information subject to the personal information protection.

1. Purpose of Use of Personal Information

JIRA will use the Personal Information which it obtains for the following purposes within the scope of businesses specified in its Articles of Incorporation.

• (1) Invitation to and operation and management of General Assembly, Board of Directors, division meetings, and committees of JIRA (*)
• (2) Invitation to and operation and management of seminars, lecture meetings, exhibitions, events, etc. hosted, co-hosted, and operated by JIRA (*)
• (3) Sending of JIRA's newsletters, reports, and other invitations
• (4) Provision and distribution of JIRA's various materials (such as journals, reports, and written standards)
• (5) Communication and sending of JIRA's notices, questionnaires, etc.
• (6) Response to consultation and notification made to JIRA
• (7) Operation and management of JIRA homepage (*)
• (8) Consideration and communication of other matters related to the operation of JIRA

* Preparation and distribution of invitations, materials, name lists, minutes of meeting, seating charts, nameplates, etc. of various meetings etc., request for questionnaires and report on result thereof, and dissemination of information to registrants of JIRA information distribution mailing system

2. Provision of Personal Information to Third Parties

JIRA will not disclose or provide the gathered Persona Information to any third party unless:

• (1) JIRA obtains the prior consent of the relevant person;
• (2) it is deemed to be necessary in accordance with laws and regulations;
• (3) it is necessary for protecting the life, body, or asset of any person and it is difficult to obtain the consent of the relevant person;
• (4) it is necessary especially for promoting improvement in public health or sound development of children and it is difficult to obtain the consent of the relevant person; or
• (5) it is necessary to cooperate with any government agency or local public entity or any consignee thereof in carrying out affairs stipulated in laws and regulations, and acquisition of the consent of the relevant person may impair the implementation of the affairs.

JIRA will, even when providing Personal Information to any third party pursuant to the abovementioned provisions, also take necessary measures such as restriction on the purpose of use thereof on an as-needed basis.

3. Management of Personal Information

JIRA will strictly manage the obtained Personal Information within the scope of the purpose of use described above and make efforts to ensure the safety related to the management of the Personal Information by taking security measures to prevent unauthorized access, loss, damage, destruction, falsification, divulgence, etc. thereof. JIRA will thoroughly educate its all staff members involved with the Personal Information to make them handle it by fully recognizing the importance thereof.
JIRA will, when consigning the handling of Personal Information to any external entity, execute a nondisclosure agreement with the consignee and manage and supervise consignee's handling of Personal Information.

4. Disclosure, Correction, Suspension of Use, etc. of Personal Information

JIRA will, when receiving a request from the relevant persons for disclosure, correction, suspension of use, etc. of the Personal Information in possession of JIRA, promptly accommodate the request to a reasonable extent.

5. Personal Information Management Structure

JIRA will establish a personal information protection and management structure with a managing director appointed as manager of Personal Information to thoroughly manage the Personal Information.
